Streamlining Payroll with a Custom App
I was tasked with modernizing a legacy payroll system for a mortgage company that had grown its payees by 500% in just a few years. The company was still using a decade-old Excel spreadsheet-based system that was no longer able to handle the growing number of payees. I knew that in order to streamline the payroll process and improve efficiency, the company needed to move away from its fax and photocopy-based system and adopt a fully digital, online solution.

I began by researching and evaluating different software options that would be able to maintain the legacy Excel data while not requiring the legacy staff to learn new software or interfaces. After careful consideration, I decided to use web-based forms and desktop Excel to modernize the payroll system. This allowed me to seamlessly integrate the new system with the existing data and processes, minimizing the need for staff to learn new software.
In addition to modernizing the system, I also introduced integrated compliance audits. These audits were designed to provide specific feedback and help on meeting compliance requirements, and were optimized for efficiency and speed. This was a crucial step in ensuring that the company was meeting all relevant regulations and laws, and it helped to prevent any compliance-related issues from arising.
The implementation of the new system was a success. The payroll process went from being a 3-day long error-prone ordeal to taking just 20 minutes a week. This was a massive improvement in efficiency and allowed staff to focus on other important tasks. Additionally, the new system greatly improved reporting and payroll accuracy while reducing payroll errors to almost zero. This was a significant improvement over the previous system, which had been prone to errors and inaccuracies.
Furthermore, I integrated deposit and cheque processing, which made the process of handling and distributing commission payments much faster and more efficient. This eliminated the need for staff to manually process and distribute payments, which was a time-consuming task that often resulted in delays. Overall, the new payroll system was able to efficiently handle the company’s growing payee base, streamline the payroll process, and improve compliance and accuracy.
